Uploading a document¶
Documents are the main source for your bot: descriptive price lists, regulations, product sheets, terms of sale. Here is how to upload, update, and remove them.
How it works¶
You upload the PDF with the return conditions. The system reads it, splits it into blocks, and makes it searchable: from that moment, when a customer asks "can I return an item?", the bot answers based on what is written there. Preparation times depend on the size: a normal document is ready in a few minutes.
What you need to do¶
- Open the panel, knowledge base section.
- Upload the file. The most common formats work: PDF, Word, Excel, plain text.
- Wait for it to be indexed.
- Ask the bot a test question about that content: see Verification.
Updating a document¶
If you upload a document with the same name, the new version replaces the old one: the bot stops using the outdated information. This is the right way to update hours, conditions, and descriptive price lists.
Removing a document¶
Delete the document from the panel and the bot stops using it. If a piece of content should no longer be told to customers, removing it is the safest option.
Limits¶
- A poorly written document produces confused answers: see Writing content.
- Text inside PDF images must be handled separately: see Media.
- Data that changes constantly (availability, live prices) should not go in documents: see External data.
Frequent problems¶
- I uploaded the file but the bot doesn't use it → check that indexing is finished, then do the verification.
- The bot still gives the old version → does the new file have a different name? The old one is still there: delete it.
